1. How to request deletion
This page explains how to request deletion of your MyAssetFlow account and the personal data linked to it. It applies to the MyAssetFlow web portal and the MyAssetFlow mobile apps on Google Play and the Apple App Store. MyAssetFlow is operated by Eyona Software Development (Pty) Ltd, based in Cape Town, South Africa.
You can ask us to delete your account and personal data at any time. We handle deletion requests by email.
- Email us at info@eyonasoftware.co.za with the subject line "Delete my MyAssetFlow account".
- Send the request from the email address linked to your MyAssetFlow account. If you cannot, include your account email and your organization name so we can verify your identity.
- Tell us whether you want your entire account deleted, or only specific data removed.

2. What data MyAssetFlow holds
When you use MyAssetFlow, we store the categories of personal and account data below. The exact data held depends on how you and your organization use the platform.
- Account and sign-in: your name, email address, phone number, a securely hashed password, and security settings such as two-factor authentication status.
- Profile and business details: business name, VAT and industry registration numbers, postal address, your digital signature, profile image, and display preferences.
- Organization and role data: the organizations, groups, job designations, and access permissions linked to your account, and email invitations sent to you or by you.
- Content you create: assets, work orders, issues, comments, and digital form submissions, including free-text entries, photos, and on-screen signatures.
- Location data: GPS coordinates recorded against assets, form submissions, and check-ins, including location history.
- Devices and notifications: device identifiers and push-notification registration tokens, and delivery and open status for emails we send you.
- Sign-in security: the IP address recorded when you sign in or refresh your session, used to protect your account.
- Audit trail: a record of key actions taken in the platform, including who performed them and when.
- In-app AI assistant: the messages you exchange with the MyAssetFlow AI assistant.
- Billing: subscription records and payment metadata for paid accounts.
3. What gets deleted
When we process a verified deletion request for your account, we delete or anonymize the personal data associated with you, including:
- Your account and sign-in credentials.
- Your personal profile and business details, including your postal address.
- Your digital signature and profile image.
- Your device and push-notification registrations.
- Your in-app AI assistant history.
- Personal identifiers in the content and audit records you created, where removing them does not break a record another party is legally entitled to keep.
4. What is retained, and why
We keep a limited amount of data after a deletion request, only where we are required to or where the data belongs to your organization rather than to you personally:
- Organization-owned records: operational records such as assets, work orders, and completed forms belong to your organization's account, not to you individually. We remove your personal identifiers from those records where we can, but the organization keeps its own business records.
- Legal and financial records: we retain billing, payment, and tax records for the period required by South African law.
- Security and audit: a minimal set of audit entries may be retained or anonymized where required for security or legal compliance.
5. How long it takes
We acknowledge deletion requests within 7 days and complete verified requests within 30 days. If a legal obligation requires us to keep specific records for longer, we will tell you which data this applies to and for how long.
